Bulk actions and exporting

What this covers

Handling many bookings at once, and getting your bookings out as a spreadsheet file.

Selecting several bookings

On the Reservations list, tick the boxes beside the bookings you want. Two buttons then become available:

  • Confirm Selected — moves every ticked booking to Confirmed. Ideal first thing in the morning when overnight bookings from your page are waiting as Pending.
  • Cancel Selected — cancels every ticked booking.

Read this before bulk cancelling. Each cancellation sends its own message to its own guest, exactly as if you had cancelled them one at a time. Cancelling twenty bookings sends twenty guests a cancellation email or text, immediately, and there is no undo. Check your selection twice — particularly that you have not left a filter on that is selecting more than you can see.

Exporting to a spreadsheet

Press Export CSV. A file downloads that opens in Excel, Numbers or Google Sheets.

What you get depends on what you have done first:

  • Ticked some rows? You get exactly those bookings.
  • Ticked nothing? You get everything matching the filters currently on screen — the date, status, guest or table you have filtered by. So filter first, then export.

The columns in the file

ID · Guest Name · Email · Phone · Party Size · Date · Time · Duration · Table · Status · Booking Source · Created At

Note what is not there: bill amounts and notes are not included. For money figures use the Revenue report instead.

What people use this for

  • A printed sheet for a service where the wifi is unreliable.
  • Sending the night's covers to a head office or an accountant.
  • Counting something Tabledoo does not report on directly — for example how many bookings came from one particular source last month.

Good to know

  • Opening the file safely. Spreadsheets like to mangle phone numbers by dropping the leading zero or turning them into scientific notation. If that happens, import the file rather than double-clicking it, and set the phone column to "text".
  • It contains guest contact details, so treat the file as confidential: do not email it around or leave it on a shared computer. Your guests' data is your responsibility. See Your guest data and privacy.
  • Exporting guests is separate, and needs its own permission. See Filtering, sorting and exporting your guest list.
