Editing and rescheduling
What this covers
Changing a booking after it has been made, and what the guest sees when you do. You need permission to change bookings, which all four roles have.
What you can change
Everything: the guest, the date, the time, the table, the pax, how long it lasts, the special requests and the internal notes.
Where to do it
- Reservations list — open the row's action menu and choose edit.
- Timeline — click the block, then move from the details window to editing.
- Live View — open the booking from the table.
- The booking's own page — the Edit Reservation button.
The same checks run again
When you save, Tabledoo re-checks everything it checked when the booking was created: the table is still free for the new time, the party still fits, you are still open, and your rules are still met. So a change can be refused for exactly the reasons in Why a time or table isn't offered.
Changing the pax or the duration can make the current table unsuitable. If that happens, either pick another table or leave it unassigned and sort it out from the tray.
What the guest is told
If update messages are switched on, the guest is automatically emailed or texted when the date, time, number of guests or table changes — the things they need to know. See What Tabledoo sends, and when.
Editing only the internal notes does not bother the guest.
Moving a booking to another table
Three ways, depending on what you are doing:
- Edit the booking and pick a different table — fine when you know where it should go.
- On the Timeline, use Move to unassigned to take the table away and decide later.
- Merge tables if the party has grown. See Merging tables for a large party.
Good to know
- Every change is recorded, including who made it, so you can see the history of a booking that has been moved several times.
- Rescheduling is editing. There is no separate "move" — just change the date and time. The guest gets one clear update message rather than a cancellation followed by a new booking.
