Your profile and preferences

What this covers

The settings every member of staff controls for themselves, whatever their role. No special permission is needed — these are yours. Find them by clicking your name at the bottom of the sidebar and choosing Account Settings — a personal menu, separate from Property Settings, which is where restaurant-wide configuration lives instead.

They are personal, not restaurant-wide. Changing your language does not change your colleague's; choosing dark mode does not darken the host stand. That is worth knowing in both directions: you can set things up to suit you without consulting anybody, and you cannot fix a colleague's screen from your own account.

Your profile

Account Settings → Profile (/settings/profile):

  • Name — how you appear on records you create and in the audit log
  • Email — your username for signing in, and where password resets go
  • Language — your interface language

Changing your email changes your login

Your email is how you sign in, so a change takes effect next time. Make sure it is an address you can actually receive mail at — if you forget your password, the reset link goes there and nowhere else.

Language is yours alone

This sets the language of the app for you. It is separate from your restaurant's language, which decides what language your guests receive emails and texts in (link Timezone, currency and formats).

So a Spanish-speaking host at an English restaurant can work in Spanish while guests still receive English confirmations. Both settings are doing the right thing.

Your password

Account Settings → Password (/settings/password). You need your current password to set a new one.

Change it if you were given an initial password by a Manager, if you have shared it with anybody, or if you have used it somewhere else. See Password requirements for what is enforced.

Appearance

Account Settings → Appearance (/settings/appearance) — light, dark, or follow your device.

Not purely cosmetic in a restaurant. Dark suits a dim dining room and a host-stand screen that should not glow; light is easier to read on a bright terrace or in daylight. Worth setting per device rather than by preference — the tablet at the pass and the laptop in the office are genuinely different environments.

Two-factor authentication

Account Settings → Two-Factor Auth (/settings/two-factor). Adds a code from your phone to your sign-in, so a stolen password is not enough on its own.

Each person turns it on for themselves — nobody can enable it for you, and nobody can turn yours off. Strongly worth it for Owner and Manager accounts (link Two-factor authentication).

Answering calls on this screen

If your restaurant uses phone integration, a phone icon in the top bar controls whether incoming calls pop on the screen you are using.

This one is not quite like the others: it belongs to the browser on that device rather than to your account. So it does not follow you to another device, and if two people share the host-stand browser they share the setting. That is usually what you want at a host stand (link Choosing which screens pop).

What you cannot change yourself

You cannot changeWho can
Your own roleAn Owner or Manager (link Roles)
Your restaurant's name, hours or booking rulesAnyone with manage-settings
What language guests receive messages inAnyone with manage-settings
Your restaurant's date and time formatAnyone with manage-settings — these are restaurant-wide, deliberately, so your whole team reads times the same way

That last row surprises people who expect date format to be a personal preference. It is shared on purpose: a team where one person reads 08/21 and another reads 21/08 is a team that will eventually seat a party on the wrong day.

Deleting your own account

Possible from your profile page, and permanent. Two exceptions: you cannot do it if you are the Owner, or if yours is the last account at the restaurant.

Everything you created stays — bookings, guests, notes — but stops being attributed to you (link Editing and removing staff).

Good to know

Nobody else can see your preferences. Your Owner cannot tell whether you use dark mode.

Signing out does not reset anything. Your language and appearance follow your account and your device respectively.
