The guest profile
What this covers
What Tabledoo remembers about each guest, and where it comes from. Everyone can view guest profiles; adding and editing need permission (Owner, Manager or Host).
Profiles build themselves
You rarely create a guest by hand. A profile appears whenever someone books — through your public page, over the phone, from the waitlist, or as a walk-in you named. Tabledoo matches them to an existing profile by email or phone where it can, so the same person does not end up as five records.
That means your guest list grows on its own, and the fifth visit is recognisable as the fifth visit.
What a profile holds
| Field | What it is for |
|---|---|
| First and last name | The name you greet them by. |
| Confirmations, reminders, cancellations. | |
| Phone | Text messages, and how the caller screen-pop recognises them if you use it. |
| VIP | A flag that shows as a gold star everywhere. See VIPs, tags and notes. |
| Tags | Your own labels — "wine club", "corporate", "regular". |
| Notes | Anything your team should know every time this guest comes in, including allergies. See Recording allergies and dietary needs. |
| Blacklisted and a reason | Stops new bookings being made for them. See Blacklisting a guest. |
| Text opt-out | Set this and no text message is ever sent to them. See Guests who opt out. |
The history, which you do not fill in
Everything below is worked out from their bookings, so it is always current:
- Total reservations, and their first and last visit.
- Total spend, total tips, and the averages per booking — from the bills you record when completing a booking. See Recording the bill and tip.
- Average party size and total pax served.
- Upcoming reservations, and the full history, latest first, with each booking's status and bill.
- Member since — when they first appeared.
Spend figures are only as complete as your bill entry. If your team completes bookings without entering the bill, a good customer will look like they have never spent anything.
Creating one by hand
Sometimes useful — a regular who always phones, or a corporate contact you want on file before they book. Guests → New Guest. Only a first name is strictly required, but a profile with no email or phone cannot be sent anything.
Deleting a guest
Owners and Managers only. Their bookings are not deleted — they are unlinked, so your covers and revenue history stay intact but the bookings no longer name a guest. Deleting is the right response to a genuine erasure request; for a guest you simply do not want back, blacklist them instead.
