Cancelling an event or one date

What this covers

Calling off a whole event or a single date, and what your guests are told. Needs the manage-events permission.

Cancelling one date

Use Cancel date next to the date on the event page. You are warned exactly what will happen: "Cancel 14 November? Its 8 booking(s) will be cancelled and those guests notified."

Everything else about the event carries on — other dates keep selling, and the tables for that date go back into normal circulation immediately, so you can take ordinary bookings for the evening instead.

Cancelling the whole event

Use Cancel event. If bookings exist you are told how many: "This will cancel all 23 booking(s) for this event and notify guests by email. This cannot be undone. Continue?"

Read the number before you confirm. It is the clearest signal of how big a thing you are about to do.

What guests get

Every affected guest is emailed automatically. You do not have to work through the list — but for a big event, a personal call to the regulars before you press the button is worth the ten minutes.

It cannot be undone

Cancelling is final for those bookings. If the event might come back, consider whether you are really cancelling or just moving it:

Deleting an event

Separate from cancelling, and also final: "Delete this event? This cannot be undone." Cancelling tells your guests and keeps the record. Deleting removes the event itself. Cancel first, and only delete something created by mistake.

Afterwards

  • Check the tables came back. Live View should no longer show them as Held for event, and the evening should be bookable again.
  • Tell anyone you promised in person. The automatic email covers everyone who booked, but not the regular who mentioned it to you at the bar.
  • Take the link down from social media if you shared it.
